The Festival Academy’s Privacy Policy

The Festival Academy, an initiative of the European Festivals Association, is located at Sainctelettesquare 17, 1000 Brussels – Belgium, with Identification Number BE 0501.782.186 – RPR Brussel. The Festival Academy pays special attention to the protection of Personal Data for the organisations and individuals we work with and the participants in our activities. We respect the protection of privacy when collecting, storing, processing, managing and using Personal Data. We follow the current legislation for the protection of personal data, i.e., Regulation (EU) 2016.670 of the European Parliament and of the Council.  

The privacy policy outlined below will explain how our organisation uses the personal data we collect from you when you apply for events, engage with us via email, or otherwise interact with The Festival Academy.

WHAT DATA DO WE COLLECT? 

The Festival Academy collects the following data: 

• Personal identification information (Name, gender, age, etc.) 
• Contact details (email address, phone number, Facebook/Instagram etc.) 
• Location information (address, nationality, country of residence, etc.) 
• Affiliations, organisations, and job information (organisation address, affiliation to the European Festival Association, current function/role, educational background) 
• Image data such as photographs, videos, and passport photos for the purpose of arranging travel 

HOW DO WE COLLECT YOUR DATA? 

You directly provide The Festival Academy with most of the data we collect. We collect and process your data when you: 

• Apply online for an Atelier, training, meeting, or other event requiring an application form to attend 
• Provide photos via form or email 
• Voluntarily complete a survey after an event or provide feedback or information via email 

HOW WILL WE USE YOUR DATA? 

We collect your data for the purpose of: 

• Identification 
• Communication 
• Evaluation of applications for events 
• Monitoring event attendance 
• The general promotion and advertising of events 
• Arrangement and production of events, including details like travel, accommodations, etc. 
• Emailing you alumni information, newsletters, and upcoming opportunities 
• Recording statistical data to produce anonymized statistics and to improve the events offered by The Festival Academy 

If you agree, The Festival Academy will share your data with our initiator, the European Festival Association for reporting and record keeping purposes. The Festival Academy may also share your data with partner and supporting organisations so that they may evaluate your application for potential funding and support opportunities depending on the specific event and your profile and as part of the normal function of event programming. HOW DO WE STORE YOUR DATA? 

The Festival Academy undertakes to observe the obligations of the General Data Protection Regulation in regard to protection of Personal Data.  In line with these obligations, The Festival Academy securely stores Personal Data on a server located in our offices in Brussels, Belgium, as well as in cloud storage through Microsoft Outlook and Google Drive.  The Festival Academy keeps Personal Data until the applicant opposes any further processing of the Data and/or requests its removal.
